Messages and E-mails

Users registered can send e-mails. Messages can be sent, for example, to notify about due action plans, remind about meetings, structure changes, etc. (this feature of sending e-mails is optional).

 

Procedures

To configure the e-mail server:

To use this feature, you must inform the e-mail server. In the Tools menu, option E-mail Server, indicate the following:

1. E-mail account: E-mail account to be used to send e-mails.
2. HTTP Server: Name or IP address of e-mail server (the SMTP protocol must be active in this server, otherwise Protheus® will not send e-mails).
3. SMTP Port: Number of the SMTP port configured in the e-mail server.
4. User and Password: User and password to be authenticated in the e-mail server, in case the SMTP server requires authentication to send e-mails.
5. Click Save.

 

Messages:

The option Messages, in Tools menu, has three folders:

Sent Items: Displays all messages sent.
Deleted Items: Displays all messages deleted.
Inbox: Displays all messages sent to current user.
To send a message or e-mail:
1. In Inbox folder, click New.
2. Enter:
Subject: Subject of the message/e-mail
Message: Message text
Inform the message priority: Classified as: High, Medium or Low.
To: Users to receive this message/e-mail.
CC: Users to receive a copy of this message/e-mail.
3. Click Send to send the message to recipients. A message asks whether you want to send these messages via e-mail as well. This message can be viewed in Sent Items folder.

 

To view messages received:

1. The Reminders screen shows all messages received. To read a message, double-click it.
2. The Inbox also shows messages received. Click View to read the message.
3. Each message can be replied (buttons Reply or Reply to All) or forwarded (button Forward).

 

To delete an item:

Go to the message either through screen Reminders or Inbox, and click Delete. The message is moved to folder Deleted Items.
