Projects

Projects are represented by a set of action plans that aim at improving the performance of a scorecard to which they are connected. A scorecard may contain several projects. However, Action Plans of Indicators and Action Plans of Projects are not the same thing. The first one is directly related to an indicator and the second to a scorecard.

Procedures

To register a project:

1. In Registers menu, select Projects item.
2. Select New.
3. Enter:
Name: Project name.
Code: Code of the package to be defined by user adding the project.
Type: Type of the package to be defined by user adding the project.
Responsible: User responsible for the project.
Scorecard: Select the scorecard to which it will belong.
Description: Project description.
4. Click Save.

The user who created the project becomes its person in charge. Thus, this user can create action plans for this project and give permissions to other users create action plans in this project as well.

5. Click Action Plan folder.
6. Click Edit.
7. Select New.
8. Enter:
Name: name of the action plan.
Cause: Cause for the creation of the plan.
Description: Description of the plan.
Purpose: Purpose of the plan.
How: How the plan will be carried out.
Investment: Investment required, if any.
Result: result reached.
Note: General notes on the plan.
Start Date: Initial date of the plan.
End Date: Final date of the plan.
Finished on: Date when the plan will finish. The current date is recorded when 100% is entered in the % Completed field or when the status  is changed to Completed (it must not be entered manually).
Status: displays the current status of the action, which may be: Not Started, In Execution, Completed, On Hold, Postponed or Canceled.
Investment: investment in amounts.
% Completed: percentage completed.
Responsible: Person in charge of carrying out the plan. Only one person can be in charge of a plan.
Register Date: date of registration. (This date is saved automatically by the system).
Author: Name of the author of action plan.
9. Click Save.
10. Click folder Project Permission.
11. Click + to add users.
12. Choose users than can create action plans in this project.
13. Click Save in the project.

 

Important

People in charge of the Action Plan can only edit information on status, % accomplished and note.  The other data can only be edited by the plan author.
The final date of the plan cannot be changed. If you need to change it, you must make a configuration in menu Tools (system configurations). However, every time this date is changed, the person responsible for the scorecard is notified by email.
You cannot delete a registered action plan. In this case, the plan must be canceled (change its status to Canceled). When the plan is set as canceled, you must enter the reason for the cancellation, in the screen that opens to save the plan. This reason is saved in field Note of the plan. After that, the plan can no longer be changed.

 

 

14. In the initial screen of the action plan register, the first column displays two options:

Key: Indicates the current user created the action plan.

Magnifier: Indicates the current user is in charge of the action plan.
