Indicator Actions

The Actions for an indicator represent tasks which must be performed so as to reach the defined goal.

Procedures

1. When accessing the Action, click New and enter the following data:
Name: action name.
Scorecard: select the indicator's parent scorecard.
Indicator: select the indicator in which this action is inserted.
Action Plan: action plan containing the action.
Responsible: person in charge of executing the action. Only one person can be in charge for an action.
Description: action description.
Purpose: the action's purpose.
Cause: cause for creating this action.
Start Date: start date of the action.
End Date: end date of the action.
Type: Does the action aim at correcting or preventing something? In this field, define one of these options:
Investment: if present, enter the investment.
Status: displays the current status of the action, which may be: Not Started, In Progess, Completed, On Hold, Postponed or Canceled.
% Completed: percentage completed.
Note: general information about the action.
How: way the action is performed.
Investment: investment in amounts.
Result: result reached.
Register Date: date of registration. This date is saved automatically by the system.
Completed on: date the action has been completed. The current date is recorded when 100% is entered in the % Completed field or when the status  is changed to Completed (it must not be entered manually).
Author: displays the name of the author of the action.

 

2. Click Save.

Important

The people in charge for the action may edit status information: % Completed and Note. Other data can only be edited by the plan author.

The action End Date cannot be edited. If needed, the configuration may be done in the System Configurations register (Tools menu). However, every time this date is changed, the person responsible for the scorecard is notified by email.

It is not possible to delete a registered action. In this case, the action must be canceled (change its status to Canceled). When the action is indicated as canceled, its cause must also be described on the screen, since it is saved in the Note field of the action and cannot be changed afterwards.

In Tools / Configurations / System Parameter / Action, the following options are available:

Filter the action plan and action by user in charge. When enabled, the following situations are considered:

Only the Actions for which the user (or some group the user is part of) is defined in the Person in Charge field and the Actions which are part of an Action Plan for which the user (or some group the user is part of) is defined as in charge are displayed.
This filter is not applied to users with Administrator rights, since they have unrestricted access.

 

Enable the approval control of the action plan. When enabled, the following situations are considered:

Once the  status of the Action is changed to In Execution, only the person in charge of its Action Plan may change it to Not Started.
While the Action has the Not Started status, any field may be edited. For other statuses, only the Status, Status Note and Completed fields may be edited.
Only the people in charge for the Action or users with Administrator rights may change it.
If the Action Plan is Pending Approval, all fields of the Action are blocked for editing, including Status.
If the Action Plan is Approved, one is not allowed to change the status  of the Action to Not Started.
If the Action Plan is Approved, only the Status, Status Note and Completed fields may be edited.
3. In the initial screen of the Actions register, the first column displays the following options:
Key: Indicates that the current user created the action.
Magnifier: Indicates that the current user is in charge of the action plan.
