Indicators
The Indicator Register is the most important register in SGI, since reports for analysis of indicators are generated through it.
Procedures
Registering a Performance Key indicator:
1. | In Registers menu, click Indicators. |
2. | There is a list of scorecards to make the search for indicators easier. This list is useful to change indicators. It does not interfere in the inclusion of new indicators. |
3. | Click New to register a new indicator. |
4. | Enter: |
Indicator:
• | Name: Indicator Name. |
• | Description: A description for this indicator. |
• | Check Method: Description of the indicator check method. |
• | Document Related: Document related to the indicator. You can enter the document name or the name and location of the document. For user information purpose. |
• | Scorecard: Enter the scorecard that will contain this indicator. |
• | Parent Indicator: Enter the parent indicator in the hierarchy, if this indicator is associated with one. If this indicator is associated with a Parent Indicator, select option Parent Indicator so that it is shown in the list of Parent Indicators. |
• | Group: Group: Group to which the indicator belongs, if any. |
• | Import Code: Indicator code used in other systems of the company. It may work as a base for indicator data imports. |
• | Frequency: Frequency of analysis of this indicator. This frequency directly impacts future analyses and imports of indicator data. |
• | Target Tolerance: A percentage of tolerance of values realized in relation to the target. If the realized value is within the tolerance (below or above, depending on the indicator orientation), the scorecard's color will be yellow, not red. |
• | Exceed in (%): Exceeding value in comparison with the target established, defining if the final value is higher or lower than the exceeding value calculated in percentage. |
• | Accrued Value Type: Informative field for occasional queries. Options: |
Sum: Accumulated value is the sum of values in the period.
Average: The accrued value is the average of the values calculated in the accrued period (often used in percentage indicators).
Last Value: The accrued value repeats the the target date value (used, for example, where the month by month value is always accrued in the last month calculated).
Using the Formula: The indicator formula is used to calculate the the accrued value. For example, if an indicator has formula X/Y, the accrued value is the sum of all the X values divided by the sum of all the Y values.
• | Importance: Importance of each indicator (the default is 1). Indicator importances help in the calculation of the scorecard color. A weighted average is calculated for indicators that compose the scorecard to know the scorecard situation. If you want an indicator not to be considered in the average, just put its importance as zero (0). |
• | Decimal places: Amount of decimal places of the indicator. |
• | Update Type: As the indicator value data will be assigned in the System, the addition may occur as follows: |
• | Manual: The assignment of indicator value data can be manual, when user access the indicator and manually adds data to Value Spreadsheet tab. This process is better explained in the third stage of Indicator Register. |
• | Via Spreadsheet: Configuration menu enables the registration of a spreadsheet to import values. This process is better explained in chapter 7.4 of this document. |
• | Via Data Source: Configuration menu enables the registration of a data source to import values. This process is better explained in chapter 7.5 of this document. |
• | Deadline: Deadline to fill out the indicator value spreadsheet. |
• | Unit: Unit of measurement of the indicator. |
• | Type: Type of indicator being created. It can be: |
• | Parent Indicator: It indicates whether the indicator is parent or not. It enables the collection of data regarding its child indicators, if required. |
• | Strategic: It indicates whether the indicator is strategic or not. It impacts, for example, the status of targets. If strategic, the trends are not calculated. |
• | Consolidator: It indicates whether the indicator is consolidator. If so, the value is treated differently, being accrued during calculation. |
• | Visible: It indicates if the indicator is visible in the processes and if its values are used. |
• | Orientation: Orientation used to generate the ranges of the target values. It can be: |
• | The Bigger the Better: The higher the value, the better it is. |
• | Best Range: The target calculation ignores values registered in the Target tab and uses the value registered in the Exceed by (%) and Tolerance (%), as follows: |
• | In the Indicator performance display, only the colors Green, Yellow and Red are to be used; the color Blue must not be used. |
• | The Tolerance (%) field of the Indicator register now determines the percentage above and below the Target for which the result is to be displayed as Green. |
• | The Exceed by (%) field of the Indicator register now determines the percentage above and below the Target, and above and below Tolerance (%) respectively, for which the result is to be displayed as Yellow. |
• | If the Indicator performance is above the Target and above Exceed by (%), or below the target and below Exceed by (%), it is to be displayed as Red. |
• | The Smaller the Better: The lower the value, the better it is. |
• | Person in charge of the indicator: It defines a person in charge of the indicator. |
• | Person in charge of the collection: It defines a person in charge of the data collection. |
Formula:
Indicator formula, if any. In this screen, you do not have to necessarily type the formula. You can provide the formula by selecting indicators, in basic operations (sum, subtraction, division, multiplication) and parentheses operations, avoiding errors when the formula is devised.
To devise a formula, select a scorecard and its indicator, click + to add this indicator to the formula and choose the operation required.
Enter values through the Expression box and click Add.
If the formula has any syntax error, a warning message is displayed. To delete an expression, click <.
If there are any metaformulas, just add them to the formula.
• | Calculate: Definition of whether the indicator formula (if any) will be applied to both actual and goal values or just to one of them. This is useful when, for example, the goal is informed manually in the value worksheet. |
Value Worksheet:
Values can be added to indicators manually or by importing text files. (to be explained in another item).
Through the value worksheet, you can add actual and goal values to each period you want.
Remember that periods respect the analysis frequency informed in the indicator.
Indicate period and values in the worksheet using the down arrow.
These values are used to calculate formulas in which they must be considered.
Bear in mind that values added to indicators that have formulas are void.
Click New to add values to the worksheet.
Click Save to save indicator information.
Goal:
Targets: Definition of target values for the goals. It is related to the value selected in field Orientation and tab Indicator. Depending on what is selected in field Orientation, the colors may be on contrary.
Batch Goal: By using the Batch Goal process, you can define during which period this date acts on the calculation of real values in relation to the goal also selected in Goal field.
Widget:
It enables you to view indicators in the Scorecarding in panel format, providing an intuitive analysis if the indicators.
Integration with SIGADW
To open a SIGADW query from SIGASGI, you must register, in the indicator, the related queries.
Edit an indicator and then click the Integration with SIGADW tab.
The field URL DW displays the URL configured in the connection with DW (for more information, refer to Connections with DW). Click Connect, and then select the DataWareHouse and the query. Add the query by clicking +.
Viewing a DW query
To view a SIGADW query from SIGASGI, open the Scorecarding screen, select an indicator and click DW Queries.
If there are any queries registered for this indicator, they are displayed. Select the query and click View to open it;
1. Actual Worksheet x Goal 2. Tolerance 3. Targets |
Duplicate
You can copy data from an indicator when creating a new one through option Duplicate. It enables the creation of a new indicator when the data to be used in this indicator are similar to an indicator previously created.
Procedures
Copying an indicator
1. | Select one indicator and click View. |
2. | In the form of the indicator selected, click Duplicate. |
A copy of the indicator previously viewed is created and the indicator name is displayed with the prefix DUP.
3. | Make the changes required and click Save. |
People in charge of the indicators may be notified when changes occur in the value spreadsheet (addition, edition or deletion). For that, enable the option Enable Justification of Change in Goal of Value Spreadsheet in System Parameters.
