Automatic Generation

Besides the manual registration, the system allows the automatic generation of purchase vouchers through a Wizard, in order to add new vouchers in the database in a faster way.

Procedures

To carry out automatic generation:

1. In Purchase Voucher, select Automatic Generation.

The authorization window is displayed requesting password.

2. Enter password and click OK.

The Processing of Purchase Voucher Generation window is displayed.

3. Click Next.

The Parameter window is displayed to carry out the automatic generation.

4. In this window, fill out the fields:
• Initial code: First code of purchase voucher to be generated must be lower, equal or higher than the last one. The system validates the existence of the code in the database.
• Final code: Last code of purchase voucher to be generated must be higher or equal to the initial. The system validates the existence of the code in the database.
• Value: Enter purchase voucher value. In a generation, the value is the same for all vouchers that are within the selected interval. This way, if the user wants to generate with two (2) distinct values, the process must be carried out twice.
• Store: Purchase voucher origin store. Necessary as of the Store Identification File.
5. Click Conclude.

 

Important:

Before the generation, a confirmation window is displayed for the interval of the codes selected really corresponds to the value of the purchase voucher entered. If the information is correct, the purchase value are generated and, in the end, a message is displayed informing the amount of vouchers included, taking into consideration those that have been recorded in the database.

The message display means that all interval purchase values selected by the user already exist. This way, the interval must be retyped, or the user is certified that the purchase voucher were already generated in the system.

All purchase vouchers generated automatically are recoded with the Active status (field Status (MAV_STATUS = 1).
