Closing

This routine aims to carry files entries of the informed period to their respective accruals. This way, histories of records, annotations, results and meals are maintained.
Reference date / Annotation date Every annotation day is considered a reference date or annotation date. By creating employee schedule, based on information of Standard Schedule Table for a period, limits of reference date are generated. They will be identified by two columns of limit date and hour that correspond to initial and final date-hour for an annotation day. Therefore, any time record regarding one-day limits belongs to this day.
Example: Considering an annotation period from 8/16 to 9/15, in which, for each worked day, the time from 22:00 to 02:00 and from 03:00 to 04:00 was defined, and the limits of 5 hours before entry and 5 hours after exit. On 09/13, the employee registered time records of 4h37m (first record) and 18h (second record). The first record belongs to day 12 because, according to limit dates and hours, all records registered between 17:00 of day 12 and 10:00 of day 13 belong to day 12. Thus, all records registered between 17:00 of day 13 and 10:00 of day 14 belong to day 13. This example uses a night schedule, but the same operation format can be applied for a day schedule. Order Through reference date limits, orders are calculated for an annotation period when reading or indicating records so that, according to the example above, the record order 4h37min can be 28 and 29 for the record 18h. Note that, although records were performed on the same day, they are in different orders. |
At the end of the process, the period informed is marked as closed on the calculation period table (RCH) and the next one is selected.
The calculation period must be closed before the closing period. The period after the closing must be inserted on RCH table. For each closed period, a registration is created on RCH table - Calculation Periods, in which the key FROM and TO is the same of the Electronic Attendance Control module. The period generation is replicated to the RCI table - Period Control Table. Procedures
To perform monthly closing:
| 1. | In Monthly Closing maintenance window, the system displays a screen, observing the routine requires other files associated to it not to be used by another station. |
| 2. | Click OK. |
The routine description screen is displayed.
If the closing was initiated, but not finished, an option to continue from that point will be displayed.
Otherwise, click Parameters and enter Process/ Period/ Script and Payment number related to the period to be closed; in addition to that, inform whether the registrations on transference table (RFA) should be deleted or not.
