Speaking of folder...
Folders are used for organizing the learning structure in the training and tracks catalog.
Inside each folder, you can add new folders, links training courses and tracks as long as you have permission to perform such actions.
Create new folder
01. After clicking New, Folder where to create the folder, enter the required information in the General information tab.
Required information:
Acronym
Acronym to be assigned to the folder.
Name
Name of the folder.
02. Click on the Security tab.
03. Define whether the folder should inherit the permissions from the parent folder.
Available options are:
Inherit permissions
When it is selected, the permissions and restrictions assigned to the folder will be the same as the parent folder. Even when the folder inherits the permissions, you can define other permissions or restrictions specific to the folder in addition to those already inherited.
Not inherit permissions
When it is selected, the permissions and restrictions of the parent folder are not assigned to the folder.
Use default
When it is selected, it considers what was set in the option “Inherit tracks and training permissions automatically” from Learning settings in the Control Panel.
04. In Permissions, click Add if you want to define folder access permissions.
05. In the pop-up window, find and select the user, user group, class or subject to which you wish to assign permissions.
To find the item, use the search field – located in the upper right corner of the window – or page through the items – arrows located in the lower right corner.
You can also select more than one item at once.
06. Click Add.
07. In the Level column – next to the added item –select the option that establishes the permission level to be assigned to it.
Available options are:
- Reading;
- Execution;
- Writing;
- Modification;
- Deletion;
- Complete.
For detailed information regarding each permission option, go to Catalog permissions and restrictions.
To edit the permission on an added item, simply select the new option to be assigned to it in the Level column.
To delete an added item, simply click the Delete icon – located in the line corresponding to the item and to the right of the Level column.
08. In Restrictions, click Add if you want to define folder access restrictions.
09. In the pop-up window, find and select the user, user group, class or subject to which you wish to assign restrictions.
To find the item, use the search field – located in the upper right corner of the window – or page through the items – arrows located in the lower right corner.
You can also select more than one item at once.
10. Click Add.
11. In the Level column – next to the entered item –select the option that establishes the restriction level to be assigned to it.
Available options are:
- Reading;
- Execution;
- Writing;
- Modification;
- Deletion;
- Complete.
For detailed information regarding each restriction option, go to Catalog permissions and restrictions.
To edit the restriction on an entered item, simply select the new option to be assigned to it in the Level column.
To delete an added item, simply click the Delete icon – located in the line corresponding to the item and to the right of the Level column.
12. Click Save to confirm the creation of the folder; or Cancel if you want to cancel the process.
Edit folder
Users are required to have, at least, modification permission on the folder to perform this action.
01. In the catalog, access the location where the folder is.
02. Click Edit, located to the right of the folder name.
03. Change the information of your choice. For more details about the displayed fields, see the basic path.
04. Click Save or Cancel if you want to discard the changes made.
Copy folder
Only users that have, at least, writing permission on the target location are allowed to perform this action.
01. In the catalog, access the location where the folder is.
02. Click Copy, located to the right of the folder name.
03. In the Search field in the pop-up window, enter the name of the location to which to copy the folder.
04. From the pop-up list, select the location to which to copy the folder.
05. Click Copy.
When you click this option, the copy of the folder is created in the selected location, if you have the required permissions to perform this action.
Move folder
You are required to have, at least, deletion permission on the folder location and modification permission on the target location to perform this action.
01. In the catalog, access the location where the folder is.
02. Click Move, to the right of the folder name.
03. In the Search field in the pop-up window, enter the location name to which to move the folder.
04. From the pop-up list, select the location to which to move the folder.
05. Click Move.
When you click this option, the folder is moved to the selected location, if you have the required permissions to perform this action.
Delete folder
You are required to have, at least, deletion permission on the folder location to perform this action.
01. In the catalog, access the location where the folder is.
02. Click Delete, located to the right of the folder name.
03. In the pop-up window, click Yes to confirm the deletion of the folder; or No if you want to cancel the action.
Find folder item
Since this search is contextual, it only allows you to filter the items inside a folder. It does not include sub items, i.e. items inside its secondary folders.
01. In the catalog, go to the folder containing the item that you want to find.
02. Enter the item name in the Search field, in the upper right corner.
03. View the search result.
Create track in the folder
Users are required to have, at least, writing permission on the folder to perform this action.
01. In the catalog, go to the folder where to create the track.
02. Click New, located in the upper left corner.
03. Click Track.
When you click this option, it displays a window to add tracks. For more information on available actions, go to Track.
Create training course in the folder
Users are required to have, at least, writing permission on the folder to perform this action.
01. In the catalog, go to the folder in which to create the training course.
02. Click New, located in the upper left corner.
03. Click Training.
When you click this option, it displays a window to add training courses. For more information on available actions, go to Training.
Create link in the folder
Users are required to have, at least, writing permission on the folder to perform this action.
01. In the catalog, go to the folder where to create the link.
02. Click New, located in the upper left corner.
03. Click Link.
